Privacy Policy

This policy covers the Eternal NYE mobile app and this website. It is written to be read, not to be survived — the short version is that the app works without an account, most of what it stores never leaves your phone, and the personal details it can hold are ones you choose to type in.
The short version
- There is no account and no password. The app identifies your install with a random identifier it generates itself — not your phone's hardware id, and not an advertising id.
- You can use the schedule, lineup, map, vendors and info without giving us anything at all.
- Contact details, a photo and a display name are only collected if you choose to create a Crew profile or file a Lost & Found report.
- We do not sell your data, and there are no advertising networks in the app.
- Because identity is tied to the install, deleting the app or losing the phone means losing the profile. There is no recovery, by design.

What the app collects, and when
Nothing in the second and third groups below happens unless you choose to use that feature.

What the app does not collect
- Your location. The app has no location permission and does not track where you are or where you have been.
- Your contacts, calendar, microphone or camera roll beyond a single photo you deliberately pick for your profile.
- Advertising identifiers. There is no ad SDK and no cross-app tracking.
- Payment details. Tickets are sold by Front Gate Tickets on their own site, under their own terms and privacy policy.
- A password, because there is no login.
What other people can see
A Crew profile is a public thing inside the app. Anyone who knows your handle or friend code can look you up and see your display name, your handle and your photo.
Your email address and phone number are never shown to other app users. They are visible only to festival staff, and only where the feature needs them — for example, the Lost & Found booth seeing how to reach you about your own report.
Friends you accept can see the sets you have saved. That is the point of the feature, and it stops the moment you remove them or block them.
Photos, and the data hidden inside them
A photo taken on a phone usually carries hidden metadata, including the exact place it was taken. When you upload a profile photo, our server re-encodes it into a plain square image before storing it, and the original file is discarded. The location and camera data inside it do not survive that step and never reach the profile that other people can look up.
Lost & Found
The public Lost & Found feed shows only a category, a short generic description, the date something was found, and a photo. Details that would let someone claim an item that is not theirs — the brand, distinguishing marks, the exact place it was found, what was inside it — are visible to staff only.
When you claim an item you are asked for a detail only the owner would know. That answer is never published, never shown to other users, and never returned to anyone — including you. It exists so a volunteer at the booth can compare what you wrote against what they are holding.
Notifications
Festival-wide announcements are sent to everyone who has notifications on, using a broadcast channel that needs no personal information at all. Notifications aimed at you specifically — a Lost & Found match, a friend request — need the push token described above.
Set reminders are different: they are scheduled on your phone and fire without any network at all, which is deliberate, because a festival field is not a place to depend on signal. Nothing about a set reminder is sent to us.
You can turn notifications off in the app's Settings screen, or in your phone's own settings, at any time.
Who else handles your data
- Google Firebase — push notifications, crash reporting, usage analytics, and storage for some festival content. Google acts as our processor and its own privacy policy applies to its handling.
- Servers we operate ourselves — the festival content, saved sets, Crew and Lost & Found data all live on infrastructure we run, not on a third-party product.
- Front Gate Tickets — ticket sales, on their own site. We do not receive your payment details.
- Nobody else. We do not sell personal information, and we do not share it for advertising.
How long we keep things
- Saved sets and your profile stay until you delete them or delete the app.
- Lost & Found reports are kept while the festival's lost property process is running, and cleared once it closes.
- Reports you file about another person's behaviour are kept even if you later delete your profile. Deleting an account must not erase a complaint about somebody else, and it must not erase a complaint about you.
- Crash and usage data are retained on Firebase's own schedule.
Deleting your data
- Crew profile: open Crew, edit your profile, and choose to delete it. Your handle, name, photo, email, phone, friend connections and blocks go with it, and the photo file is removed from our server.
- Saved sets survive deleting a profile, on purpose — people saved sets long before Crew existed, and deleting a social identity should not wipe your festival schedule. Unsave them individually, or delete the app.
- Lost & Found: withdraw a report from the My Reports screen.
- Everything else: delete the app, or email info@sacredhiveofficial.com and we will handle it.
Your rights
Depending on where you live, you may have the right to ask what we hold about you, to correct it, to have it deleted, or to object to how it is used. Email info@sacredhiveofficial.com and we will respond. Because the app has no login, we may need you to make the request from the device in question, or to give us the friend code on your profile, so that we are not handing your information to someone else.
Children
Eternal NYE is an 18+ event. The app is not directed at children, and we do not knowingly collect information from anyone under 13. If you believe a child has given us information, email us and we will remove it.
Changes to this policy
If what the app collects changes, this page changes with it and the date at the top moves. Material changes will be announced in the app.
